Business As Usual - Project Support
Basic Function
This role is central to the efficient and professional execution of customer orders in support of Business as Usual (BAU) projects. You will play a key part in expediting both internal and external supply chains, ensuring timely and accurate communication with customers, and maintaining project momentum. You’ll also represent the Projects Team in cross-functional meetings, gathering and relaying critical information to support delivery excellence.
Reporting Relationship
Reports directly to the Head of Projects.
Key Duties & Responsibilities
- Utilise the ERP system to extract and analyse data, ensuring accurate and timely reporting in line with contractual obligations. Liaise effectively with internal departments and external stakeholders to support this.
- Track and monitor order book delivery, contributing to monthly project meetings with updates on Financial, Specification, Schedule, and Customer Relationship performance indicators.
- Take ownership of the arrears profile—driving cross-functional efforts to reduce overdue items and reporting progress with clarity and accountability.
- Prepare and submit high-quality business reports for customer sharing platforms, ensuring accuracy, completeness, and timely submission.
- Maintain comprehensive and well-structured project documentation and files, including reports compiled from databases, meetings, and various business inputs.
- Lead cross-departmental shipping meetings to align stakeholders and ensure logistical and operational planning is robust and proactive.
- Attend sales meetings on behalf of the Projects Team, capturing and distributing detailed notes to ensure alignment with sales strategies and goals.
- Maintain up-to-date registers, trackers, and records—ensuring data integrity across all project documentation.
- Uphold strong document management practices to support audit readiness and operational transparency.
- Support organisational knowledge sharing, acting as a subject matter expert within ERP and database systems, and assisting colleagues in accessing accurate information to drive project success.
- Prepare formal communications and documentation for external parties, including expediting lists and general correspondence.
- Actively contribute to continuous improvement initiatives, proposing and implementing ideas that enhance business efficiency and operational performance.
- Manage the Projects Team inbox, ensuring effective email organisation, tagging, and record keeping for traceability and action tracking.
- Provide flexible support across project activity beyond core responsibilities, helping ensure delivery is on time, within budget, and to the required standard.
- Carry out additional duties as required to meet evolving business needs.
Knowledge & Ability Required
- Proven experience in an engineering or project-focused environment.
- Strong numerical capability and analytical skills.
- Excellent communication skills—both written and verbal.
- Proficient in Microsoft Office Suite, especially Excel (intermediate level or above); experience with ERP systems such as Syteline preferred.
- Highly organised with the ability to manage multiple priorities and meet tight deadlines.
- Meticulous attention to detail with a methodical and thorough approach.
- Flexible and adaptable, with a proactive mindset and a willingness to support across business areas.
- Resilient under pressure, with a positive and professional attitude.
- Strong problem-solving skills with a creative and practical mindset.
- Collaborative team player with a can-do attitude.
- Eligible for UK Security Clearance (SC), if required.
